Team Checklist at a Glance

Getting Started!
Starting up a new team does need a few steps but we will support you every step of the way.
Setup an Account on the FA Learning Website

Go to Fa Website
-
Click 'Sign in' at the top right hand side of the screen
-
Click on the SIGN UP option near 'Don't have an account'

Complete the steps required
-
Once you have an account sign into the Fa Website and then click on your account at the top right hand part of the screen and select 'My Account'

Contact the Womens Secretary with with your FAN and Date of Birth so you can be added to the FA portal as an official.

Start the DBS process

Once you have been put on as an official contact the Womens Secretary to start the DBS process

You will receive a link to the email and then complete all the details so the checks can be started

You'll be notified when the checks are complete
FA learning Courses
The FA require that all officials associated with the club complete the following through the England Football Learning Website:

One Official in each team must have completed the Introduction to Coaching Football 4 week course (£100). You need to complete the First Aid and Safeguarding Courses before enrolling on this.

Bank Account
You'll need to setup a bank account to have a place to accept Monthly subs from Parents/Carers and to purchase equipment to support training sessions. Please contact the Womens secretary if you need any advice on setting up your account. There are lots of options out there to consider and please ensure you complete your own research and looking into the different options the banks you currently bank with offer, be aware of monthly fees and transaction charges!
Getting them their first kit
Local businesses have been really supportive to our teams over the years and are willing to support the sponsoring of a kit - particularly new teams. There is no exact science to this and would advise going out to parents early if they have direct contacts or work for local businesses.

The Clubs Official kit partner is Macron and there specialist website dedicated to the Club is here. Be aware of the lead time required when ordering which is usually around 4-5 weeks.

Confirm Training slot(s) and Match Day Pitch
Contact the Womens Secretary to confirm a match day pitch for Saturday mornings and understand any processes with sharing those pitches.

Most teams train up at Penistone Grammar School on the Astroturf and share pitches to share costs with newer teams as 1/6 of the pitch will work in most cases.
Registering the Team and Setting them up with the League
The next part is registering the players with the club and associated codes of conduct.
​
All the teams play in the Sheffield and Hallamshire Women League (SWHGL). The website is a really useful information point for the league and has all the policies you might need.
​
There also a really useful contacts page if you want to arrange friendlies with others in the same age group.
Official Registration
All officials (Managers, Coaches etc...) must complete the clubs registration form here.

This ensures that every official of the club signs up to the FA grassroots code and the Clubs code of conduct. It also provides contact details for the Womens Secretary.
Player Registration
We have an electronic form which must be used for player registration as this also ensures all players and parents sign up to the FA grassroots code and the Clubs code of conduct.

1) (Suggest doing this on a laptop) Login to a microsoft account you have through forms.cloud.microsoft
2) Click the link (here)
3) Click 'Duplicate it' button at the top
4) Click the 'Collect Responses' button at top right.
5) Click 'Shorten Url' and then press copy link.
6) Send the link out to parents on your whatapp group
7) Regularly check by going to forms.cloud.microsoft open up the form --> View Responses --> Open Results in Excel.
8) All information should be there to get the players registered on Fa Portal.

Player Registration on the FA Portal
The final step of the process is to register the players on the FA Portal.

Click on the players section

Click add player
-
Unless the player has played before (then search for the player) select the create player option

Complete the required information
-
There are then some checks to complete.

The Consent has been given through the online form completed above so you can declare on offline consent for that.

Assign them to your team
-
Add an up to date photo
-
Check their ID
-

You will complete the registration by clicking 'Submit to League'.​

You will then need to send the valid ID to the league via email ensuring the documents are password protected.

Keep logging into the portal regularly to check the players registration status
-
If you require a quicker turnaround please email the associated secretary at the league to see if they can support.
Final steps!
As part of league registration all teams need to be affiliated. This in effect means that each team completes the following:

League Handbooks
Each year the Sheffield and Hallamshire Women and Girls League (SHWGL Website) update their Rules and Procedures. The website is a good source of information and has the Rules and Procedures, registration forms, team sheets and other useful documents.

The site also has the online forms to request postponements must be done within league timeframe.
​
A really useful page is the contacts page which shows you the contacts of all the clubs and managers. Great for arranging friendlies!
​

You must ensure you have read the full Rules and Procedures here are some summary notes for the Youth Teams version:

General
-
The first match of the season is Saturday 5th September.
-
All players must be registers at least two weeks prior to this on the Fa Portal (the league must be approved the registration too so give time for that)
-
The last date for signing players is Sunday 28th February.
-
All players require photos on the portal
​
The Match (Preparation)
-
Home team manager no contact later than Tuesday night (including the referee). Away team manager contact at that point if you have not heard anything.
-
Make aware of nearest toilet facilities
-
If the home team pitch is unplayable, the match must be played on the away team pitch if available and playable
-
Inform if on astroturf
-
Kicks between 9:30am and 12:30pm unless agreed by both teams
-
Please inform referee officer if you are kicking off later than 11:00am
-
Team Sheets - Share a version with the opposition manager of the players playing in the game can be paper or electronically. Be aware of GDPR and keep info to a minimum. You can print of a set in bulk and cross off players on the day. U15s and above the referee must have seen teamsheet 5 minutes before play starts. Important these are shared or teams will be fined.

Squad lists - Need to be available and downloaded from the portal on a match day. This contains the photos and details of the players so keep this secure and only share information if requested.

Respect Barrier - Ensure a barrier is in place for every home game. FA guidelines also suggest managers on one side of the pitch and parents on the other.

No Spectators stood near or behind the goal area
-
U8 - 11 must play with same amount of players on both teams. These leagues run on a non-competitive, fair play basis.
-
Powerplay is in operation in U7-U10 (TBC 11) age groups. When goal difference is 4 or more the team brings on an additional player. If the goal difference reaches 6 the team brings on another player. Players are then reduced if the goal difference reduces.

A minimum team of 3 constitutes a team for U8-9 and 5 for U10 -11.

The Match Result (Reporting the Result and Match Details)

You should receive a text message to send the score, ensure that is completed on the day. There will be a fine if not completed. If you make a mistake resend text with correct score

If you do not receive a text message email secretary@shwgl.co.uk and your age league registrar

You then need to login onto FA Fulltime and complete the three screens of details about the game. Any respect marks 4 or below or a Referee mark 60 or below requires a written report sent to the league. This must be done within 48 hours of the game or sooner where possible

Postponing a Game (in advance or nearer the day)

If the home pitch is unsuitable offer to reverse the fixture with the opposition at no cost
-
If the game has to be postponed please complete the postponement request form on the league website. Ensure the referee is also made aware.

You can request postponement 21 days in advance using this form (3 allowed per season but try to avoid). This is not the case for Cup/Shield games as they must take place on date agreed unless pitch is unfit.

Clubs may agree to bring forward a match or play in midweek in September or April or other months if there are floodlight facilities if it is mutually agreed. Make the league aware if this is the case. Be proactive if fixtures are building up.
